What is the purpose of Time & Effort Reports?
Time & Effort Reports provide positive documentation that
an employee worked during the month or period and that the effort
was appropriately charged to the proper activity or project.
Are Time & Effort Reports required to be completed?
Yes, Time & Effort reports constitute the primary basis for
reimbursement to the university by the federal government of salaries
applied to sponsored research and other sponsored programs, as
well as reimbursement for indirect cost.
What happens if Time & Effort Reports are not completed?
During the audit phase, if the Time & Effort Report is not
available, the Federal agency can and will ask for a refund of
funds on a particular project and this may also effect future
funding for not only your department, but the entire university
as a whole.
Who receives a Time & Effort Report?
Any turnaround personnel who are either paid directly or costshared
to a federal contract or grant.
Who can sign my Time & Effort Report?
The employee themselves should sign the report. The report should
be cosigned by a person with firsthand knowledge of the duties
performed by the employee. (usually the Department Chairman or
Dean)
I have a Time & Effort sheet for an employee who is no longer
employed at the university, should I return a blank sheet?
No, each report must be completed. In this case a person with
firsthand knowledge will have to complete the report.
